The information we collect and how

We collect information from you when you use our website to:

• complete a form submitting a request for space hire or events
• complete an application for our volunteer or skills & wellbeing programme
• make a donation to us using our online website link
• join our newsletter and mailing list
• make a purchase from our online shop
• complete an application when applying for a job in our team
• submit a contact form requesting a team challenge

Data we may collect about you includes:

• name
• email address
• telephone number
• postal address
• organisation name
• information you include in forms
• donation information
• purchase information
• technical information such as IP address, browser type and device information

How we use the information

We use the information we collect for the following reasons:

• to collect information to review your suitability for a job role or for one of our programmes
• to provide a service or sell a product to you
• to market our charitable programmes, products and services
• to fulfil any other requirements under applicable law
• for other purposes that are clearly disclosed to you at the time you provide personal information
• for any other legitimate charitable or business purpose as permitted by applicable law

Our obligations in relation to your personal data

We shall comply with our obligations in accordance with UK data protection law, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, which requires us to ensure that the data we collect about you is:

2. Collected only for valid purposes that we have clearly told you about and not used for any other purposes that are not compatible with those purposes

Where your personal data is stored

Your personal data will be stored on our own servers in the UK or the servers of our third-party service providers. Some of our service providers may transfer personal data outside the UK.

Our third party service providers include:

• Microsoft 365- when you submit a form to apply for our volunteering programme.
• Jot Form: to enquire about space hire and team challenges.
• Air Table: to apply for our skills & wellbeing programme.
• Beacon: to make a donation to the charity.
• Mailchimp: to sign up to our mailing list

How long we keep your personal data for

We shall only keep your personal data for as long as necessary in connection with the purposes we collected it for and to comply with any legal, regulatory or reporting requirements. To determine how long we keep your personal data for, we consider the amount, nature and sensitivity of the personal data, the purposes for which it was processed and the potential risk of harm from us continuing to keep it.

Your rights

You have a number of rights in relation to the personal data we hold about you:

• Access: You have the right to request access to and be provided with a copy of the personal data held about you together with certain information about the processing of such personal data to check that we are holding it lawfully
• Correction: You have the right to ask us to correct any inaccurate or incomplete personal data held about you
• Deletion: You have the right to ask us to delete or remove any personal data held about you where there is no good reason for us to continue holding it or where you have exercised your right to object
• Restriction: You have the right to ask us to restrict how we hold your personal data, for example, to confirm its accuracy or our reasons for holding it
• Objection: You have the right to object to our holding of any personal data about you which is based on our legitimate interests or those of a third party based on your particular circumstances. You also have the right to object to our holding your personal data for direct marketing purposes
• Portability: You have the right to receive or request that we transfer a copy of the personal data we hold about you in an electronic format where the basis of our holding such information is your consent or the performance of a contract and the information is processed by automated means
